Conference registration and workshop fees for face-to-face delegates

Waiting lists for EPDP workshops

If your first-choice of EPDP workshop or other event is full, you can ask to be put on a waiting list. However, we advise you to also book another workshop, because we generally have a very low cancellation rate for the workshops and so places do not often become available. If a place does become available, we will offer it to delegates in the order in which they were added to the waiting list. If we are able to offer you a place in your first-choice workshop, we will let you know by 21 April 2023. If you do not hear from us by then, we are sorry that on this occasion you have been unsuccessful.

Main conference attendance

The main conference is open to EMWA members. Non-members are invited to join EMWA when registering for the conference. Membership costs €130 per year.

EMWA are pleased to confirm that they are freezing conference fees at last year's rates.

Conference registration fees are as follows. 

Registration includes all conference materials and attendance at the following events, subject to registration for the relevant days: opening networking event and welcome reception; freelance business forum; introduction to medical writing seminar, early morning, lunchtime and early evening seminars; and lunches and coffee breaks. EMWA will be providing a complimentary buffet dinner for attendees at the EMWA 2023 Spring Conference in Prague - you will need to let us know during the registration process if you wish to attend this.  

There is no additional charge for the Symposium, provided you purchase full registration, 1 or 2 day registration that includes the Symposium day, or the ESS + Symposium package.

Workshops are available for the fees given below. ESS fees for conference delegates are also given below. Registering for an ESS session entitles you to attend all seminars that are a part of that session.

The registration fee does not include attending EMWA Professional Development Programme (EPDP) workshops or Expert Seminar Series (ESS) sessions. These are charged separately. 

Fees for workshops, Expert Seminar Series (ESS) and other events

*ESS sessions must be booked as a whole. It is not possible to book for individual items within a session.

Note: you may also join the ESS session(s) online. Virtual attendance will be at the above ESS rate plus €25 administration fee. 

Social events are chargeable in addition to the above fees. Prices can be viewed during the registration process. 

Events open to non-members

ESS + Symposium package
This package, aimed at experienced medical writers, includes attendance at all ESS sessions, the Symposium, and 3-day conference registration (Wednesday through Friday). This package costs €680 for non-members. EMWA members can attend for the discounted rate of €630.

Symposium
This event covers registration for the day of the Symposium only. This package costs €350 for non-members. EMWA members can attend for the discounted rate of €320. This session is also available virtually at a rate of €280.

Please note that workshops cannot be booked if attending on one of these packages. Please choose a regular registration option if you wish to attend any EMWA workshops.

Introduction to Medical Writing seminar
This event is open to the public and is free of charge. Attendees are asked to register in advance, and should note that refreshments are available only to paying conference delegates. As space is limited, please let us know if you decide not to attend this event after having registered so that we can offer the place to someone else.

Getting into Medical Writing
This event is open to the public and is free of charge. Attendees are asked to register in advance, and should note that refreshments are available only to paying conference delegates. As space is limited, please let us know if you decide not to attend this event after having registered so that we can offer the place to someone else.

Hybrid conference package

The hybrid package is available if you want to join online. The package includes online attendance at the opening session, the full day symposium, the predatory publishing seminar and the Getting into Medical Writing session.

ESS sessions are also available to attend online: see fees for ESS sessions above.

Changes to registration
Changes may be made to workshop or ESS choices after booking (that is, a cancellation of one workshop or ESS choice and replacement by another), for an administrative fee of €25, plus any difference in price between the choice of workshops or seminars. Workshops, ESS, and social events may be added to your original registration (subject to availability) at any time, without an administrative fee by contacting info@emwa.org. All changes are subject to availability.

Cancellation of attendance
If you wish to cancel your attendance at the conference, a refund, less an administration fee of €150, will be made provided your cancellation is made in writing to EMWA head office before 14 April 2023. No refunds will be made after this date.

Accompanying persons
Accompanying persons wishing to attend the opening networking event and welcome reception, and to join the EMWA lunch and coffee breaks, must be registered for the conference by the EMWA member they are accompanying. The fee for registered accompanying persons is €300 (full), €150 (2 days) and €75 (1 day).

For registered disabled delegates, one registered accompanying carer may attend free of charge. EMWA reserves the right to ask for proof of disability (e.g. national registration certificate) for delegates claiming the reduced rate for their accompanying carer. Accompanying persons (including carers) may not attend workshops, seminars, ESS, Symposium, or other paid events at the conference, but are welcome to attend all open sessions, breaks, and meals.

Payments
At the time of registration, delegates may choose between immediate payment by credit card or to be invoiced. Invoices must be settled by bank transfer in Euro. All fees are payable in advance. Full payment is due by 5 May 2023. If payment has not been received, EMWA reserves the right to request payment at the on-site registration rate.
